Digitization of the documents and record helps in reducing the hassle of managing physical records. After digitization of the records, customer is expected to reduce time spent to search to documents, cost being used to manage physical storage, documents sharing issues since after digitizing the documents, they can easily be shared among decision makers concurrently. This involves studying of the existing documents and records to check the status. Then stocktaking/record is performed to ensure that no document is left behind blindly during the transformation process. All documents will then be arranged and sorted to the boxes in a systematic manner. All documents, files and boxes will be given unique IDs to ease accessibility of the documents while increasing the security of the documents. Documents will then be prepared for scanning and pass through Quality check after scanning to ensure all documents have been scanned correctly. After QC, documents will then be indexed in the e-registry as per agreed indexing parameters for each document category.
